Where is your invoice data stored? The question that gets asked too late

The accreditation criteria cover information security and business continuity — but they do not require your invoice data to stay in the country. Of 48 accredited providers, only 14 publicly state that it does.

The gap nobody flags

Accreditation requires ISO 27001, ISO 22301, MFA and encryption — all of which govern how data is protected, not where it lives. Data residency remains something you negotiate with your provider, not something imposed on them.

Three grades of "in the UAE"

The same phrase covers very different arrangements, and the gap between them is wide:

The common trap "Your data is in the UAE" may cover production only, while backups, the recovery environment or system logs sit elsewhere. Ask about every copy of the data, not just the primary server.

The questions that settle it contractually

  1. Where do production, backups and disaster recovery each live?Three separate locations — ask about each by name.
  2. Does support staff outside the country access it?Support access is a form of data transfer even when nothing is copied.
  3. What is the retention period, and what happens at contract end?Ask for a commitment to hand data back in an open format and delete it within a stated period.
  4. Is this in the contract or on a marketing page?The difference between the two is everything in a dispute.
  5. Is my invoice data used to train AI models?A necessary question now that automated extraction is standard.

A note on fairness

Silence is not evidence of offshore hosting. Many providers simply never address it in marketing material. But what is not stated is not a commitment — and the difference only surfaces when you need it.

Ask separately about production data, backups and the disaster-recovery environment; whether support staff outside the country can access it; and the retention period, handover format and deletion process at contract end — and get all of it as a contract clause rather than a marketing promise.
